Field Scheduling Coordinator

The Field Scheduling Coordinators receive tenant calls and are responsible for scheduling In-House Maintenance work orders and escalated work to approved third-party vendors. This position is the principal contact and liaison between In-House Maintenance staff, third-party vendors, and tenants.

Responsibilities:

  • Reviews all planned work requests; confirms validity and accuracy of information and determines appropriate resources, scheduling and routing; collaborates with tenants, Maintenance staff, Regional Field Services Managers and Property Managers to schedule and assign work necessary for property repairs; schedules and plans work assignments to optimize efficiencies related to mileage (driving routes), time and quantity of work orders; escalates work, which exceeds the capacity of individual technicians to company approved representatives.
  • Reviews and makes recommendations regarding purchasing and acquiring materials necessary to facilitate property repairs; facilitates the parts order fulfilment for material required to complete work orders; receives and approves purchase orders.
  • Closes out all assigned market work orders; assists with closing of all other unassigned markets; follows up with technicians and uncompleted/completed repairs to ensure repairs are completed in full and timely.
  • Works to improve efficiencies and effectiveness of property repair planning and scheduling; communicates related issues, risks, and initiatives; serves as a resource for all In-House Services technicians on various daily needs and support.
  • Follows all organizational systems, programs, training, policies, and procedures as required and complies with relevant legal mandates. Seeks guidance as necessary.
  • Actively supports and participates in the safety program, both for self-protection and the protection of other employees, by reading and abiding by all requirements in the Injury and Illness Prevention Program (I2P2).
  • Carries out all responsibilities in an honest, ethical, and professional manner.
  • Handles various other duties as delegated by direct supervisor/management.

Minimum Qualifications:

  • High School diploma or equivalent (G.E.D.) required.
  • Minimum of two (2) years of experience in Maintenance or Property Management required.
  • Working knowledge Microsoft Office (Word, Excel, PowerPoint, Outlook) required.
  • Associates degree or above in Business Administration, Management, Real Estate, Business Communications, or a related field preferred.
  • Working knowledge of Yardi Voyager and/or CRM Dynamics preferred.

  • Must be able to lift 20 pounds to waist height.

 

Pay rate: $18

In office

Shift: 8 am – 5 pm, Monday thru Friday

Length of role: through 4/1/2021

Candidate skill set: Customer service experience, possible leadership background, and extreme multitasking experience.



 

Qualifications

  • Must be at least 18 years of age
  • Strong customer service and communication skills required
  • Ability to work a flexible work schedule including nights, weekends and holidays
  • Ability to lift, carry, push, and pull a minimum of 50 pounds required
  • Ability to unload freight, to move product on and off of store shelves, to walk, stand, bend, stoop, or kneel for long periods of time, and to move freely throughout store on a continual basis required
  • Basic English literacy and math skills required
