The Legal Secretary/Litigation Paralegal will be responsible for providing a range of legal support and administration to lawyers and other legal professionals, engaged in our firm’s law practice as well as assisting attorneys with Federal and State filing (both manual and e-filings), calendaring, proofreading, trial preparation and document processing and other administrative duties.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES – LEGAL SECRETARY:

  • Works regularly with Microsoft Office Suite applications, such as MS Word, to process legal documents on behalf of supported attorneys. Uses word processing skills to create and edit briefs, pleadings, and other legal documents as necessary such as formatting and preparing tables of contents and tables of authorities.
  • Prepares court documents and serves appropriate parties, then files documents with courts.
  • Responsible for interaction with attorney services and for advancing necessary fees.
  • Responsible for filing documents with both state and federal courts and administrative agencies.
  • Ensures that documents to be filed with courts or other agencies are properly handled and completed.
  • Uses Microsoft Outlook or designated firm software to calendar appointments, handle a litigation calendar, and manage attorney schedules.
  • Uses written and verbal communication skills daily during attorney, client, and co-worker interactions.
  • Manages the phone lines for supported attorneys, fielding calls, and conveying messages as necessary.
  • Processes vendor invoices using the Firm’s reimbursement software system.
  • Manages files, opens new matters as requested by attorneys and maintains all relevant document inclusions for the files, both electronically and manually, as necessary.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES – LITIGATION PARALEGAL:

  • Research law, investigate facts, and prepare documents to assist attorneys with matters
  • Summarize legal documents
  • Determine and calendar deadlines
  • Perform wide variety of legal research and data compilation
  • Prepare and file pleadings with court clerk
  • Prepare reports, correspondence, declarations, and complaints
  • Draft a variety of legal documents
  • Prepare affidavits or documents and maintain document file
  • Ability to assist attorneys with propounding and responding to discovery (interrogatories, requests for admissions, and request for production, subpoenas, and preparing deposition binders) and motions (preparation of any supporting documents and exhibits, and preparing hearing binders)
  • Prepare for mediations and trials
  • Communicate with witnesses and experts
  • Ability to manage trial preparation including coordination of witnesses and travel, trial exhibits, charts, trial notebook, subpoenas, and page lines; Assist attorneys at trial
  • Independently obtain, review, and organize medical records/medical billings, calculate damages including medical expenses, lost wages, and property damage
  • Scheduling
  • Must be available for overtime and travel as needed

 

ADDITIONAL DUTIES AND RESPONSIBILITIES:

ADMINISTRATIVE DUTIES:

  • Maintain attorney calendar of meetings and other important dates.
  • Duplicating/Scanning – arrange for or perform any necessary duplicating/scanning.
  • Client relations – responds to client requests with minimum attorney involvement.
  • Drafting – replies to letters (i.e., "let them know I can't make it to the meeting").
  • Arranges for meeting/conference details including reserving a conference room.
  • Attorney relations – responds to other attorney requests for information, file transmittals, relaying one attorney request to another.
  • Opens, sorts, and reviews all mail received processing any that require attention but not requiring the time of an attorney.

 

TYPING AND TRANSCRIPTION:

  • Types pleadings, discovery, correspondence, memoranda, reports, and similar items from machine dictation, typed, handwritten copy, or shorthand.
  • Corrects spelling and punctuation and determines layout of typed material when not specified.
  • Contacts originators of dictation when questions arise to ensure accuracy of material typed.
  • Corrects grammar and sentence structure as necessary.
  • Types a variety of forms, correspondence, and reports, some of which may be confidential, from handwritten and typed copy.

 

TELEPHONES:

  • Answers phones for attorneys if requested.
  • Responds to all callers by either announcing call to attorney, replying directly to any inquiries, or by taking accurate messages for attorney call backs.
  • Arranges for airlines, restaurant, and hotel reservations as requested.

 

PROOFREADING:

  • Compares (working alone) documents ensuring that completed project is correctly spelled, has good sentence structure, and content is understandable.
  • Proofreads to ensure that documents are accurate, spelling is correct, and content is understandable.
  • Redlining – redlines documents as directed by attorneys.

 

JOB REQUIREMENTS:

Proficient in all Microsoft applications, including but not limited to Word, Excel, PowerPoint, Outlook; Lexis-Nexis and Westlaw; Document Management System; e-discovery platforms; expense and billing systems. Able to operate computer, calculator, copier, fax, scanner.

 

EDUCATION AND EXPERIENCE:

Paralegal certification / degree from accredited college or university.

Five plus years of paralegal or combination of paralegal and legal secretary experience.

Qualifications

  • Must be at least 18 years of age
  • Strong customer service and communication skills required
  • Ability to work a flexible work schedule including nights, weekends and holidays
  • Ability to lift, carry, push, and pull a minimum of 50 pounds required
  • Ability to unload freight, to move product on and off of store shelves, to walk, stand, bend, stoop, or kneel for long periods of time, and to move freely throughout store on a continual basis required
  • Basic English literacy and math skills required
