Office Coordinator - Bilingual Job Available in Phoenix Arizona

The Front Office Onboarding Specialist plays a key role in ensuring a seamless, professional, and welcoming experience for all new hires. This position serves as the first point of contact for employees and visitors, while coordinating and executing onboarding tasks, administrative duties, and front desk operations. The ideal candidate is organized, detail-oriented, and customer-focused, with strong communication skills.

Monday – Friday 8am-5pm 

Pay Rate $18-$19.00

Key Responsibilities:

• Greet and assist visitors, clients, and employees in a professional and friendly manner.

• Manage front desk operations including phone calls, mail, and scheduling appointments.

• Coordinate new hire onboarding process, including preparation of new hire documents, welcome packets, badges, and workstations.

• Schedule and facilitate new hire orientations and first-day introductions.

• Collect and process employment paperwork in compliance with company and legal standards.

• Maintain accurate onboarding checklists and employee records.

• Communicate with internal departments (HR, IT, Facilities) to ensure all new hire needs are met.

• Track completion of onboarding tasks and follow up on outstanding items.

• Support HR and management with administrative projects as needed.

• Maintain confidentiality of employee records and sensitive information.

• Keep the front office area clean, organized, and presentable.

Qualifications:

• High school diploma or equivalent required; associate’s or bachelor’s degree preferred.

• 1–2 years of administrative, HR, or front desk experience; onboarding experience a plus.

• Excellent verbal and written communication skills.

• Strong attention to detail and organizational skills.

• Proficient in Microsoft Office Suite (Word, Excel, Outlook).

• Ability to multitask and manage time efficiently in a fast-paced environment.

• Professional demeanor and positive attitude.

• Bilingual (Spanish/English)
